Event Photography vs Videography: What Does Your Event Need?

For a major annual company event, we recommend planning for both photography and videography. If your budget allows only one, start with what you need to keep and how you want to use it afterwards: photographs for marketing and brand material, or video to preserve spoken content and movement.

01Start with the importance of the event

When a client asks whether to book event photography or videography, our first question is whether this is one of the company’s most important events of the year. If it is, our recommendation is to invest in both.

Think beyond the event day. The photographs and footage can become material for future communications, rather than serving only as a record of what happened. Planning those uses in advance gives you a clearer reason for choosing each service.

02Think about what you can reuse afterwards

Event photographs can support publicity, marketing materials and brand communications. A single image can show the occasion, the people involved or an important moment without asking the audience to watch a clip.

Video gives you another way to share the event on social media and with your team. It can preserve delivery, movement and spoken messages that a photograph cannot convey on its own.

Before booking, ask where the material might be used after the event: a future promotion, a company update or communication with your team. These are possible uses to plan for, rather than a promise that every format or edit is included in a package.

03If the message needs to be heard, prioritise video

When the programme contains substantial sharing, speeches or presentations that you need to keep as recordings, video may be the more suitable priority. The words themselves are part of what you want to preserve.

Be specific about which segments need recording. If you want a complete speech, tell the videographer that before the event and confirm the recording scope and audio arrangements. A short highlight edit serves a different purpose from a full recording.

If the event has little spoken content that needs to be retained, and your main need is a collection of images, photography may be enough.

04Work within your budget

When resources are limited, photography is usually the foundation we recommend so that someone is assigned to document the event. But there are exceptions.

If your own team can handle the photographs you need, you could put the professional budget towards a videographer and ask a team member to take photos. That can be a practical arrangement when video is your priority.

Make the division of responsibilities clear beforehand. Decide who will take the photos and what they should focus on, while the videographer concentrates on the agreed video coverage.

05Choose for the material you will actually use

For an important company event, consider both services. If spoken content is the main thing you must retain, discuss video first. If your priority is a set of images and there is little speech to preserve, photography may be sufficient.

Seeing the photographs and footage as material you can reuse changes the conversation. The useful question becomes: what will we want to show, share or refer back to after this event?
